Business Support Specialist – Technical & Operations Support

Job Summary:
The Business Support Specialist will provide flexible technical, operational, and administrative support across HHNT’s business units, with an emphasis on supporting engineering and environmental science teams. This position is intended for a proactive, people-oriented problem solver who can step in where needed, assist staff across offices, and help keep projects, teams, and internal processes moving forward. The ideal candidate will be above average in using technology, Microsoft 365 tools, AI-enabled resources, and digital systems to improve efficiency, organize information, and support better work products. The role is not limited to executive assistant responsibilities and may include support for technical documentation, project coordination, office operations, internal initiatives, AI-assisted process improvements, cross-office collaboration, and, when appropriate, recruiting-related support. This position may require up to 10% of travel a year to HHNT office locations, as needed, to provide hands-on support and strengthen communication across teams.
Qualifications: High school diploma or equivalent required; bachelor’s degree or related technical/administrative coursework preferred. Prior experience in administrative support, operations support, project coordination, technical documentation, office management, or a related role preferred. Advanced proficiency with Microsoft 365 tools, including Word, Excel, PowerPoint, Outlook, Teams, SharePoint, and OneDrive. Comfortable learning and using AI-enabled tools, digital systems, databases and workflow platforms to improve organization, efficiency, and work quality. Strong written and verbal communication skills, with the ability to interact professionally with technical staff, leadership, clients, vendors, and office teams. Highly organized and detail-oriented, with the ability to manage multiple priorities, track deadlines, follow through on assignments, and maintain accurate records. Proactive problem solver with a service-minded attitude, sound judgement, and willingness to step in where support is needed. Ability to handle confidential company, employee, candidate, and client information with professionalism and discretion. Familiarity with technical reports, regulatory documents, proposals, permit applications, or engineering/environmental consulting work is a plus. Ability and willingness to travel up to 10% a year to HHNT office locations, as needed.
Responsibilities:
- Provide backup technical and operational support to engineering, environmental science, and other business units as needs arise.
- Create and maintain spreadsheets, charts, and databases to support project tracking and

- Organize and support internal and external meetings, including preparing agendas, taking minutes, and tracking follow-up items.
- Maintain organized digital and physical filing systems in accordance with company protocols, including correctly saving documents to designated client folders on SharePoint and correct local drives.
- Handle incoming and outgoing communications, including phone calls, emails, mail, and courier
- Serve as a people-focused liaison between technical staff, business units, office teams, clients, and external partners while maintaining professionalism and a service-minded approach.
- Support the preparation and submission of client deliverables and regulatory
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an advanced level to produce high-quality work products.
- Use AI tools and technology thoughtfully to support research, drafting, document organization, data analysis, workflow improvements, meeting preparation, possible recruiting support, and routine process efficiencies while maintaining accuracy, confidentiality, and professional judgment.
- Utilize Adobe Acrobat and other Adobe tools to edit, compile, and format technical documents, including PDFs of engineering reports, permit applications, and presentation materials, ensuring professional layout and compliance with submission standards.
- Identify problems, troubleshoot routine issues, coordinate with the appropriate internal resources, and help develop practical solutions that support team efficiency.
- Stay current with practical technology tools, digital best practices, and responsible AI use to help teams work more efficiently and identify opportunities for smarter internal processes.
- Maintain confidentiality of sensitive company and client information at all
- Prioritize and manage multiple assignments while meeting deadlines and maintaining
- Manage aspects of the Conference, Seminar & Training activities for the supporting business unit and teams including but not limited to calendar oversite, monthly reporting and budget
- May assist with recruiting-related activities as needed, which could include candidate communication, interview coordination, career fair preparation, onboarding support, and other talent-related initiatives depending on business needs.
