Accounting Supervisor / Bookkeeper
Accountable to: President and Secretary
Responsible for:
- Works under Accounting Manager
- Maintaining a complete and systematic set of records of business transactions
- Balances books and prepares reports to show receipts, expenditures, accounts receivable and payable, and various other items pertinent to the operation of a business
Qualifications: Degree in Accounting preferred (Applicable degree and/or business school training), minimum 5 years accounting background, and experience with computerized accounting systems (AJERA) or similar software. Good computer skills required.
Responsibilities:
Job Duties to include (not exclusively):
- Preparation of payroll, accounts payable, and accounts receivable functions.
- Assist in the ongoing improvement and refinement of internal control procedures.
- Prepare invoices, financial reports and accurate, timely job costing reports.
- Handle allocation cost for general liability and property and casualty insurance coverage; state and federal tax reporting; valuation and depreciation of assets; reconcile cash disbursements, cash accounts, check registers and checkbooks.
- Assist with entire billing and collection function.
- Maintain accounts receivable database.
- Review and monitor status of delinquent accounts with appropriate staff.
- Monitor collection activities and prepare reports for management.
- Assist with accounts payable function and maintain database, including preparation of end-of-year tax reports. Monitor prebilled consultant payables.
- Review payroll process and timesheet entries.
- Maintain budgets by projects.
- Assist with Capitalization Plan, income projections, profitability ratios, and other financial indicators.
- Must meet constant deadlines, can be stressful dealing with employees, vendors, clients.
- Ensuring the appropriate classification of all income and expenditures. Assigning new classifications and cost centers as required.
- Providing daily banking services and depository accounts.
- Research on current long-term financial plans, i.e. flexible spending, short-term disability, etc.
- Assembling required information for preparation of income tax returns. Preparing property tax returns.
- Preparing periodic reports on budgeted versus actual expenditures
- Assist with depreciation schedules of all company equipment.
- Preparing periodic financial statements and reports.
- Compiling and presenting statistical information and reports to management to measure performance against financial goals.
- Working closely with the President and Secretary ensure that financial activities are consistent with plans and objectives.
- Assisting President and Secretary with operating results and their effect on the financial condition of the firm; making specific recommendations for cost reduction and profit improvement.
- Developing and revising accounting systems as necessary to accommodate the needs of management and taxing entities.

Physical Requirements: Ability to move medium weight supply containers, bend, stoop and climb small step ladder.
Note: Errors occur, but in the accounting area, errors are not acceptable. Every effort must be made to complete each task and assignment without errors.
